Give each colleague a suitable role
An administrator manages workspace settings and people. A sales colleague works with accessible customer records. A read-only viewer can review accessible information without making changes. Use the role that matches the colleague’s responsibility.
A role alone does not answer every access question. Two sales colleagues may need different customer portfolios, while a manager may need a broader view of accounts.
Define account access clearly
Read access allows a colleague to review a customer and relevant related information. Edit access allows supported customer work within the limits of the person’s role. A viewer should remain read-only even if an account assignment exists.
For example, a colleague covering an account during annual leave may need Read access to understand its history, or Edit access if they must prepare the next quotation.
Review access as the team changes
- Choose who owns each account.
- Grant additional customer access for a clear reason.
- Review assignments when responsibilities change.
- Deactivate users or revoke sessions when access should end.
Keep shared logins out of the daily workflow so that ownership and recorded actions remain meaningful.
In the current workspace
Workspace administrators can manage users, customer Read/Edit assignments, supported all-customer policies, password resets and session revocation. Shared login password changes are reserved for platform administration.
