Understand the working context

The connection needs the service details and credentials required by the provider. A successful submission means the service accepted the message for handling; it does not establish that the recipient has read it or that it reached the inbox. Treat customer communication as a reviewed action with a clear sender, recipient and purpose. Keep the organisation’s mail service configuration under the control of the person responsible for that service.

Put it into practice

  • Confirm the mail provider and the sender address.
  • Enter credentials through the integration settings.
  • Review the recipient, subject and attachments before sending.
  • Check service history before repeating an uncertain submission.

A practical example

A colleague prepares a quotation email from the customer account. They review the saved PDF attachment and recipient, then submit it through the configured workspace mail service. If the result is uncertain, the team checks the service history rather than immediately sending a second copy.
