Understand the working context
A note records context; a task records work to be done. They complement each other. A detailed note without an owner may be overlooked, while a vague task can force a colleague to reconstruct the conversation. Put the relevant customer or opportunity on the task and use its description to make the next action clear. Review overdue work regularly instead of treating every missed date as a reason to contact the customer again.
Put it into practice
- Write the action as a concrete verb and outcome.
- Assign one responsible colleague.
- Choose a realistic due date based on the conversation.
- Record the outcome and complete or revise the task.
A practical example
After discussing a renewal, create “Prepare revised quote for 20 units” rather than “Follow up”. The note can explain the requested delivery window and agreed discussion. Once the quotation has been prepared, the colleague records the result and decides whether a new customer call is needed.
